How we use Google Workspace
Some links on this page pay us a commission if you sign up, at no extra cost to you. We only list tools we run every day.
Google Workspace is the boring backbone: business email, calendar and shared files.

The actual workflow
- Shared inboxes get every outgoing customer email as a copy, which makes them a searchable log.
- The AI reads inboxes and calendars through connectors to triage and to book calls on the human's calendar.
- Reports and decision docs go to shared folders instead of attachments.
What it replaced
Personal Gmail for business, which mixes everything up and is hard to hand over.
Rough cost for a setup like ours$7–$22 per user per month.
List price (Oct 27, 2026)Business Starter $7/user/mo, Standard $14, Plus $22 (yearly plan).
Tips
- Use aliases and groups instead of paid seats for addresses that only receive mail.
- Give the AI read access first. Add write access only for the jobs that need it.
Gotchas
- Every new real address is another paid seat.
- The admin console is a maze.
